What is a Virtual Assistant and How Can They Help Your Business?

When I first began my journey into this industry, I’ll be honest: if you had asked me what a "Virtual Assistant" (VA) was, I wouldn’t have had a clue. I think that is the case for many business owners across Marlow and the wider Buckinghamshire area. We hear the term, but it often feels vague or disconnected from the reality of running a complex organisation.

Now that I have completed the training and researched the industry extensively, I have come to realise that "VA" is a massive umbrella term. It is a bit like saying someone is a "footballer." That doesn’t tell you if they are a striker or a goalkeeper; it doesn’t tell you their skill level or whether they are still at the top of their game. Similarly, a Virtual Assistant isn't just one type of person doing one type of job.

Beyond the "Catch-All" Administrator

For many, the term conjures an image of a remote worker ticking off basic administrative tasks like answering emails or booking a train ticket. While that is part of the landscape, the reality is far more varied.

In my experience—having served as a Headteacher and a senior leader—I know that "Administration" is often used as a catch-all for anything that keeps the lights on. In a school setting, with tight budgets, you often have to be your own marketing department, your own facilities manager, and your own compliance officer. You learn to build your own Virtual Learning Environments (VLE) and manage complex fire risk assessments because there simply isn't anyone else to carry that pack.

At Sherpa VA, I apply that same "can-do" leadership mentality to my clients' businesses. I don’t just offer routine support; I provide Operational Infrastructure.

The Specialist Sherpa

Because the term VA is so broad, many professionals niche into specific areas. You might find a "Tech VA" who specialises in background automations, or a "Social Media VA" who focuses on visibility and design.

This is why, when you meet a VA at a networking event in Buckinghamshire, it is more helpful to ask about their history than their title. For me, my background in school leadership means I am used to high-stakes compliance, policy writing, and budget management. These are invaluable skills for a business owner looking to move from being a sole trader to a limited company with its own premises.

Cost vs. Capacity: The Real Value

I often hear business owners hesitate over the hourly rate of a UK-based VA, which typically ranges from £30 to £45 per hour. It might seem high when compared to the minimum wage, but you aren't just paying for an hour of time; you are investing in Core Systems and avoiding the massive overheads of employment.

If you were to hire a full-time employee, the "on-costs"—including NI, pension contributions, equipment, software, and training—can easily push the total bill toward £60k per year. With a VA, you have no sick pay, no holiday pay, and no HR headaches. You are partnering with an independent professional who only succeeds if you succeed. You are paying for a partner who brings years of senior-level knowledge to your table.

Building the Architecture

A key part of what I do at Sherpa isn’t just "clearing an inbox." It is about lightening the "cognitive load."

For instance, I’ve worked with clients who were paying creative agencies high fees for simple WordPress hosting. We transitioned them to managed hosting, reducing their costs while ensuring their plugins and security remain up to date. Many agencies focus on the "design phase" but leave the back office vulnerable and non-compliant with GDPR. As your Sherpa, I ensure the Operational Infrastructure is secure so you can focus on growth.

Most business owners have a "to-do list" and a "growth list." Usually, the operational "to-dos" eat up all the time, leaving the growth list stuck at Base Camp. Having an Operations Architect with leadership experience means you can hand over a problem, and I can pick it up and run with it. No hand-holding required.

The First Step on the Climb

If you want a partner who will help you build the architecture you need to reach the summit, let’s start the conversation. You don’t need a perfectly documented manual to hire me; you just need to know which parts of your business are stalling.

If you are ready to move from being an "Everything Officer" to a strategic leader, take my Operations Health Check at sherpava.co.uk/health-check. Let’s see what is standing between you and your next peak.
